Who we are: 765842 New Brunswick Inc., doing business as R2R Property Care (also known as Roots 2 Rocks Property Care) ("R2R Property Care", "we", "us", or "our").

We respect your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you visit our website, interact with us online or offline, or use our services.

This Policy applies to personal information we collect about:

  • Visitors to our website and online booking portals.

  • Prospective, current, and former residential and commercial clients.

  • Individuals who contact us, request a quote, apply for employment, or otherwise interact with us.

This Policy does not cover information relating to our employees in the context of their employment with us.

We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws. We follow principles of accountability, identifying purposes, consent, limiting collection, limiting use/disclosure/retention, accuracy, safeguards, openness, individual access, and challenging compliance.

  • Service Details: property type/size, photos you upload, site plans, service preferences (e.g., mowing height, snow trigger depth), notes.

  • Transactional: quotes, invoices, payment status, purchase history.

  • Payment: payment method details processed by our payment providers (we do not store full card numbers).

  • Communications: emails, messages, call notes, feedback and survey responses.

  • Technical / Usage: IP address, device/browser, cookies, analytics, and interactions with our website (pages visited, actions taken).

  • Recruitment (if you apply): resume/CV, work history, qualifications, references.

We may collect information directly from you, from your use of our website, from publicly available sources (e.g., property records for measurement/verification), and from service providers acting on our behalf.

 

4) Cookies & Similar Technologies

We use cookies and similar technologies for:

  • Functionality (remembering preferences, enabling bookings/forms);

  • Analytics (to understand site performance and improve our services);

  • Advertising (only if enabled, to measure campaign performance and reach interested audiences).

You can control cookies through your browser settings. Disabling cookies may impact site functionality. Where required by law, we will request your consent for non‑essential cookies.

 

5) How We Use Personal Information (Purposes)

We use personal information to:

  • Provide, schedule, and manage services; prepare quotes and contracts.

  • Communicate with you (estimates, service updates, billing, support).

  • Process payments and manage accounts and collections.

  • Plan routes, allocate crews/equipment, and maintain safety and quality.

  • Operate and improve our website, tools, and user experience.

  • Conduct marketing (email/SMS/ads) with your consent where required; you may opt out at any time.

  • Meet legal, regulatory, insurance, tax, and audit obligations; prevent fraud and misuse.

  • Recruit, evaluate, and onboard applicants.

 

6) Legal Bases for Processing (PIPEDA Principles)

Under PIPEDA, we collect, use, and disclose personal information with your consent, or as otherwise permitted or required by law. In practice, our legal bases include:

  • Consent (express or implied) for quotes, bookings, communications, and marketing.

  • Contractual necessity to provide requested services.

  • Legitimate interests (e.g., site safety, quality control, analytics) balanced with your privacy rights.

  • Legal obligations (e.g., tax/financial recordkeeping).

 

7) When We Share Personal Information

We may share personal information with:

  • Service providers/Processors who support our operations (e.g., website hosting—Wix or similar; CRM/quoting & invoicing—Jobber or similar; payments—Stripe/Square/Moneris; email & productivity tools—Google Workspace; analytics—Google Analytics; marketing platforms—Mailchimp/Meta/Google Ads). These parties are contractually required to protect your information and use it only to provide services to us.

  • Professional advisors (e.g., accountants, insurers, legal counsel).

  • Authorities where required by law, regulation, or to protect rights, safety, and property.

  • Business transfers in connection with a merger, acquisition, or asset sale.

We do not sell your personal information.

 

8) International Transfers

Some service providers may process or store information outside of Canada (e.g., in the United States). As a result, your information may be subject to foreign laws and accessible to courts, law enforcement, and national security authorities in those jurisdictions. We use contractual and technical safeguards appropriate to the sensitivity of the information.

 

9) Retention

We retain personal information only as long as necessary to fulfill the purposes outlined in this Policy or as required by law. Typical retention periods:

  • Quotes and routine communications: up to 24 months after last interaction.

  • Client records, invoices, payments, and service history: 7 years (tax/audit).

  • Recruitment records (unsuccessful applicants): up to 12 months unless you ask us to keep them longer.

When information is no longer required, we securely delete or anonymize it.

 

10) Your Choices & Rights

Subject to legal limits, you have the right to:

  • Access your personal information held by us.

  • Request correction of inaccurate or incomplete information.

  • Withdraw consent at any time (e.g., unsubscribe from marketing); this will not affect processing that has already occurred.

  • Complain about our privacy practices (see Section 13).

To exercise these rights, contact us using the details in Section 14. We may need to verify your identity.

 

11) Security

We use physical, organizational, and technical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit where supported, least‑privilege role access, and staff confidentiality practices. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

 

12) Children’s Privacy

Our services are intended for adults. We do not knowingly collect personal information from children under the age of 13 without verifiable parental consent. If you believe a child has provided us information, please contact us so we can delete it.

 

13) Questions or Complaints

If you have questions, concerns, or wish to make a complaint about our privacy practices, please contact us first (Section 14). You may also contact the Office of the Privacy Commissioner of Canada (OPC). If you are in New Brunswick, you may additionally contact the Access to Information and Privacy office relevant to your jurisdiction.

15) Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or applicable laws. The updated version will be posted on our website with a new “Effective date.” If changes are material, we will provide additional notice as required by law.

 

16) Additional Notices

Marketing Communications: You can unsubscribe from marketing emails by using the link in the message or contacting us. For SMS, reply STOP to opt out. Transactional or service‑related messages may still be sent.
Do Not Track: Our site does not respond to Do Not Track signals at this time.
Third‑Party Links: Our website may contain links to third‑party sites. Their privacy practices are governed by their own policies.
